Paw Pit – Terms & Conditions & Waiver

By submitting this registration form, making a booking, or attending Paw Pit (including daycare, Stay & Play sessions, private hire, dog parties, and any additional services), you confirm that you have read, understood, and agree to these Terms & Conditions.

These Terms are intended to help ensure the safety, welfare, and enjoyment of all dogs, owners, visitors, and staff at Paw Pit.

Health, Identification & Legal Requirements

All dogs attending Paw Pit must be up to date with their required core vaccinations and must be fit and well enough to participate in the service booked.

Dogs must not attend Paw Pit if they are showing signs of illness, injury, parasites, or a suspected or confirmed contagious condition. This includes, but is not limited to, vomiting, diarrhoea, coughing, unusual discharge, unexplained lethargy, or other symptoms that may indicate illness.

Following vomiting or diarrhoea, dogs must be completely symptom-free for a minimum of 48 hours before returning to Paw Pit.

For suspected or confirmed contagious conditions, including kennel cough or similar infectious illnesses, dogs must remain away from Paw Pit for an appropriate period and must not return until they are considered fit to mix safely with other dogs. Paw Pit may request veterinary advice or confirmation where appropriate.

Owners must inform Paw Pit if their dog develops an infectious illness or has recently been exposed to a contagious condition that could pose a risk to other dogs.

All dogs must be microchipped, with the microchip registered to the owner's current details. Dogs must also wear a suitable collar or harness with an identification tag displaying the required owner details when entering or leaving the premises.

Paw Pit reserves the right to refuse entry or ask a dog to leave if the dog appears unwell, is considered unsuitable to attend safely, or does not meet the health, vaccination, identification, or other requirements of the service booked.

Minimum Age

Dogs attending Paw Pit must be at least 12 weeks old.

Puppies must meet Paw Pit’s vaccination requirements before attending.

Registration & Approval

Paw Pit will not confirm a booking until registration has been completed and all required information has been provided.

Paw Pit reserves the right to require a consultation, assessment, and/or trial session before accepting a dog onto any service, where we consider this necessary to assess the dog's health, behaviour, suitability, or individual needs.

Owners are responsible for ensuring that all information provided to Paw Pit is accurate, complete, and kept up to date. Owners must inform Paw Pit of any relevant changes to their dog's health, behaviour, vaccination status, or circumstances that may affect their dog's suitability for the service booked.

Behaviour & Suitability

Dogs attending group services must be suitable for the environment and able to participate safely alongside other dogs, people, and staff.

Owners must provide accurate and complete information about their dog's behaviour, including any known behavioural concerns, reactivity, aggression, resource guarding, fear, anxiety, triggers, previous incidents, or other behaviour that may affect their dog's suitability for the service booked.

Paw Pit reserves the right to refuse entry, require an assessment or trial session, separate a dog from others, or end a session if a dog's behaviour presents a risk to the safety or wellbeing of the dog, other dogs, owners, visitors, or staff.

Not all dogs are suited to group environments, and suitability may vary depending on the individual dog and the service booked. Decisions regarding participation will be made with the safety and wellbeing of all dogs and people at Paw Pit as the priority.

Private hire bookings may be suitable for dogs who are not appropriate for group sessions, subject to Paw Pit's assessment of the individual circumstances and the requirements of the booking.

Trial & Assessment (Daycare)

All dogs may be required to attend a trial and/or assessment session before attending regular daycare. The purpose of the trial or assessment is to assess the dog's behaviour, temperament, wellbeing, social interaction, and suitability for the daycare environment.

Acceptance into daycare is not guaranteed and ongoing attendance remains subject to the dog's continued suitability, behaviour, health, and wellbeing.

Paw Pit reserves the right to require a further assessment or trial session, introduce additional measures, reduce or change a dog's attendance, or end daycare attendance where this is considered necessary for the safety or wellbeing of the dog, other dogs, owners, visitors, or staff.

Supervision & Interaction

Dogs attending daycare will be appropriately supervised by Paw Pit staff throughout their attendance. Dogs attending Stay & Play sessions remain under the supervision and responsibility of their owner at all times.

Dogs naturally communicate and interact through play, and minor incidents or injuries may occasionally occur. Paw Pit will take reasonable precautions to maintain a safe, controlled, and positive environment for all dogs, owners, visitors, and staff.

Paw Pit staff may intervene in interactions, redirect, separate, or temporarily remove a dog from a group where this is considered necessary for the safety, wellbeing, or comfort of any dog or person.

Owners attending Stay & Play sessions are responsible for supervising their own dog and must follow any reasonable instructions given by Paw Pit staff relating to safety, behaviour, or the use of the facilities.

Paw Pit may adjust group arrangements, provide rest periods, or separate dogs where necessary to support their individual needs, behaviour, safety, or wellbeing.

Accidents, Incidents & Information Sharing

Accidents, injuries, dog fights, or other incidents involving dogs, owners, visitors or staff may be recorded by Paw Pit for safety, welfare, insurance and record-keeping purposes.

Where appropriate, Paw Pit may contact the dog's owner or emergency contact following an incident.

Information relating to an incident may be shared where there is a lawful basis to do so, including where necessary for the safety and welfare of those involved, veterinary care, insurance purposes, legal requirements, or where requested by an appropriate authority.

Paw Pit will only share personal information that is necessary and appropriate in the circumstances and will handle it in accordance with applicable data protection requirements.

Arrival & Collection

Dogs must be kept on a lead when entering and leaving the Paw Pit premises. Owners must follow all designated entry and exit procedures and any reasonable instructions provided by Paw Pit staff.

Owners are responsible for ensuring that their dog arrives and is collected at the agreed booking times. Late arrival may result in a reduced session time, as the session will still finish at the scheduled collection time.

Dogs must be collected promptly at the agreed collection time. Any late collection will be dealt with in accordance with Paw Pit's late collection policy and may result in an additional charge.

Owners must ensure that Paw Pit has accurate and up-to-date contact details and, where applicable, an emergency contact who can collect their dog if they are unexpectedly unable to do so.

Late Collections

A 10-minute grace period is allowed for late collections.

After the 10-minute grace period has elapsed, a late collection charge of £10 per 15 minutes, or part thereof, will apply. This means that any part of a 15-minute period is charged as a full 15-minute period.

For example: • 11–25 minutes late = £10 • 26–40 minutes late = £20 • 41–55 minutes late = £30

Sessions, Bookings & Cancellations

All sessions must be booked in advance. Bookings are subject to availability and are confirmed once the required registration information has been completed and payment has been made, where applicable.

Cancellations or booking changes made with at least 24 hours' notice will be eligible for either a full refund or the equivalent Paw Pit booking credit, at the customer's choice.

Cancellations made with less than 24 hours' notice will normally remain chargeable, as the reserved booking time may not be possible to fill at short notice. Where Paw Pit is able to rebook the cancelled time with another customer, Paw Pit may, at its discretion, offer a full or partial refund or booking credit.

If a dog becomes unwell and cannot safely attend, owners must notify Paw Pit as soon as reasonably possible. Paw Pit will not penalise an owner for keeping an unwell or potentially contagious dog at home. Where appropriate, the booking may be transferred to a Paw Pit credit or refunded, at Paw Pit's discretion, depending on the circumstances and notice provided.

Missed sessions where the customer does not attend and has not provided notice will be treated as a no-show and the booking fee will normally remain payable.

Repeated late cancellations or no-shows may result in future bookings being restricted, refused, or requiring payment in advance.

Any booking credit issued by Paw Pit will be subject to the terms communicated at the time the credit is provided.

Paw Pit may amend, postpone, or cancel a booking where necessary due to safety, welfare, staffing, severe weather, emergencies, maintenance, equipment failure, or other circumstances beyond Paw Pit's reasonable control. Where Paw Pit is unable to provide the booked service, the customer will be offered an appropriate alternative booking or refund, as applicable.

Payments

Payment must be made in accordance with the booking terms or any agreed payment arrangement. Paw Pit reserves the right to suspend or refuse services if payment is overdue.

Daycare-Specific Terms

Owners must provide everything reasonably required for their dog's care during daycare, clearly labelled where appropriate. This may include food, medication, leads, harnesses, and any other necessary items. Owners must provide clear instructions for feeding, medication, or any other specific care requirements.

Dogs attending daycare must be appropriately treated for fleas, ticks, and worms in accordance with their individual needs. Owners must inform Paw Pit of any relevant treatment or health changes that may affect their dog's care.

An up-to-date emergency contact must be provided and must be someone who can be contacted and, where necessary, assist with decisions regarding the dog's care or collection.

Paw Pit may provide dogs with rest periods, quiet time, or temporary separation from other dogs where this is considered appropriate for their individual needs, behaviour, safety, comfort, or wellbeing. Dogs may be separated from the group where necessary and will continue to be appropriately cared for and supervised.

Owners are responsible for collecting their dog at the agreed collection time. Late collection may result in an additional charge in accordance with Paw Pit's late collection policy. Repeated late collections may result in future bookings being restricted or reviewed.

Whilst barking is a normal form of dog communication, Paw Pit may manage, redirect, separate, or temporarily remove a dog from the group where excessive or persistent barking causes significant disruption, distress to other dogs, or affects the safe and appropriate operation of the daycare environment.

Paw Pit reserves the right to review, adjust, reduce, or end a dog's daycare attendance where this is considered necessary for the dog's safety or wellbeing, or the safety and wellbeing of other dogs, owners, visitors, or staff.

Stay & Play-Specific Terms

Owners attending Stay & Play sessions remain fully responsible for the supervision, behaviour, and welfare of their own dog(s) throughout the session. Paw Pit staff supervise daycare dogs only and do not provide supervision or care for dogs attending Stay & Play sessions.

Owners must remain with their dog throughout the entire Stay & Play session and must not leave the designated Stay & Play area while their dog is using the facilities.

Dogs attending Stay & Play sessions must meet Paw Pit's health, vaccination, and behaviour requirements and must be suitable for a shared play environment. Owners are responsible for intervening immediately if their dog displays behaviour that is unsafe, aggressive, excessively boisterous, or likely to cause distress or injury to another dog or person. Owners must follow any reasonable instructions given by Paw Pit staff relating to safety, behaviour, or use of the facilities.

Owners are responsible for managing excessive or persistent barking by their dog. If barking causes significant disruption or distress to other dogs, visitors, or neighbouring premises, Paw Pit staff may ask the owner to take appropriate action or leave the session.

Owners are responsible for ensuring their dog has been given the opportunity to toilet before entering the play area. Any accident must be reported to a member of Paw Pit staff immediately so that the affected area can be cleaned and sanitised safely.

Paw Pit reserves the right to refuse entry to, or ask an owner and/or their dog to leave, a Stay & Play session where their behaviour or their dog's behaviour is considered unsafe, disruptive, or unsuitable. Any refund or booking credit in these circumstances will be considered at Paw Pit's discretion, taking into account the circumstances of the incident and any part of the session already used.

Stay & Play sessions operate at selected times and are subject to availability. Session times may vary to accommodate the safe and appropriate operation of Paw Pit's daycare service.

Private Hire & Dog Parties

The booking owner is responsible for all dogs and humans attending the booking. All attending dogs must meet Paw Pit's health, vaccination, and behaviour requirements.

The booking owner is responsible for ensuring that all children are supervised by a responsible adult at all times.

The booking owner is responsible for the behaviour and safety of all dogs and people attending the booking and must ensure that all attendees follow any reasonable instructions given by Paw Pit staff.

Any damage to the premises, equipment, or facilities caused during the booking may be chargeable to the booking owner.

Bookings must begin and finish at the agreed times. Time limits must be respected to allow for safe cleaning, preparation, and changeover between bookings. Late departure may result in an additional charge.

Paw Pit reserves the right to end a booking where behaviour, conduct, or circumstances create a risk to the safety, wellbeing, or appropriate operation of the premises.

Belongings

Items brought into Paw Pit, including toys, beds, leads, harnesses, food containers, and other personal belongings, are brought in at the owner's own risk.

Paw Pit cannot guarantee that personal belongings will not be damaged, lost, or misplaced and accepts no responsibility for such items.

Owners are responsible for ensuring that any belongings left with their dog are clearly labelled where appropriate.

CCTV

CCTV may operate within parts of the Paw Pit premises for the purposes of safety, security, crime prevention and the protection of dogs, owners, visitors and staff.

CCTV footage will be handled securely and in accordance with applicable data protection requirements. Footage may be accessed or shared where there is a lawful basis to do so, including where required for safety, insurance, legal or law-enforcement purposes.

Emergency Care

In the event of illness or injury, Paw Pit reserves the right to seek appropriate veterinary treatment where reasonably necessary to protect a dog's health or welfare.

Where reasonably possible, Paw Pit will attempt to contact the owner or their nominated emergency contact before veterinary treatment is authorised. However, where immediate veterinary attention is considered necessary, treatment may be sought without prior consent.

Any veterinary fees, treatment costs, transport costs, or other associated expenses incurred will remain the responsibility of the dog's owner.

Owners must provide accurate and up-to-date emergency contact details and ensure that their nominated emergency contact is authorised to make decisions regarding their dog's care where the owner cannot be reached.

Paw Pit will take reasonable steps to act in the best interests of the dog in an emergency.

Insurance

Paw Pit maintains appropriate business insurance for the services it provides. Owners remain responsible for ensuring that their own dogs are appropriately insured where they consider this necessary.

Owners are responsible for any costs, claims, or losses arising from their own actions, or the actions or behaviour of their dog(s), where they are legally responsible for those costs.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited.

Safety & Conditions

Paw Pit reserves the right to modify, postpone, or cancel activities, sessions, or services where this is considered necessary due to safety, severe weather, staffing, maintenance, equipment failure, emergencies, or other circumstances beyond Paw Pit's reasonable control.

Where Paw Pit is unable to provide a booked service, the customer will be offered an appropriate alternative booking or a refund, as applicable.

Paw Pit may temporarily restrict access to any area of the premises where this is considered necessary for safety, maintenance, cleaning, or operational reasons.

The safety and wellbeing of dogs, owners, visitors, and staff will always be the priority when making decisions about the operation of Paw Pit.

Media Consent

Paw Pit may take photographs and videos of dogs and activities taking place at the premises for use on the Paw Pit website, social media, and other promotional materials.

By attending Paw Pit, owners acknowledge that their dog may be photographed or filmed during sessions. Owners who do not wish for their dog to appear in photographs or videos must notify Paw Pit before attending, and reasonable steps will be taken to respect this request.

Paw Pit will not intentionally photograph or film children for promotional purposes without appropriate consent from their parent or legal guardian.

Owners are responsible for informing Paw Pit if they do not wish to appear themselves in photographs or videos taken for promotional purposes.

Liability Waiver

While every reasonable care and precaution is taken to provide a safe, clean, and controlled environment, Paw Pit cannot guarantee that incidents between dogs will never occur.

Owners acknowledge and accept that participation in daycare, Stay & Play sessions, private hire, dog parties, and all other Paw Pit services involves the inherent risks associated with dogs interacting with other dogs, people, equipment, and their surroundings. This includes the risk of disagreements, injury, illness, loss, damage, or, in exceptionally rare circumstances, death, despite Paw Pit taking all reasonable precautions and providing appropriate care and supervision.

Except where liability arises as a result of Paw Pit's negligence or where liability cannot legally be excluded under UK law, Paw Pit cannot be held liable for injury, illness, loss, damage, serious injury, or death arising from the normal and foreseeable risks associated with dogs participating in our services.

Owners are responsible for ensuring that their dog is suitable for the service they have booked, complies with Paw Pit's health and behaviour requirements, and follows all Paw Pit Terms & Conditions together with any reasonable instructions given by Paw Pit staff.

Nothing within these Terms & Conditions affects your statutory rights under UK law.

We will always take reasonable steps to support the safety and wellbeing of dogs, owners, visitors, and staff, while treating every dog as an individual and making decisions based on their needs and circumstances.
